The NI Wedding Directory (registered in Northern Ireland, company number NI733954) is responsible for personal data used to operate this website. Contact info@theniweddingdirectory.com about your privacy or to exercise your rights. This notice covers our directory, accounts, planning tools, magazine and fair services.
What we use and why
- Accounts and planning: your name, email, sign-in information, account type and any wedding details, favourites, budgets, bookings, guests or seating plans you choose to provide. We use these to provide the services you request (contract), secure accounts and prevent abuse (legitimate interests). Avoid adding sensitive information about guests unless necessary and authorised.
- Enquiries and messages: your contact details, message and the wedding context included in your enquiry go to the businesses you select, so they can reply and quote. We retain the conversation to provide messaging and handle disputes (contract and legitimate interests). Each recipient business is responsible for its subsequent use of your information; sending an enquiry is not permission to add you to a marketing list.
- Business listings: submitted business information, contacts, photos, credits, offers and reviews may be publicly displayed. We use membership, approval and billing details to operate listings and subscriptions (contract).
- Payments: Stripe processes payment and fraud-prevention information when you request a purchase or membership checkout. We receive transaction, subscription and fulfilment details, not your full card number. Ticket Tailor processes fair ticket bookings on its service. Their own privacy notices apply alongside ours (contract and legal obligations for financial records).
- Optional analytics: with your analytics consent, Google Analytics 4 (Google) and Humblytics measure visits, browser/device information, page activity and interactions. Our own unique visitor measurement assigns a random browser identifier and stores its hash with each UTC visit day, separately from anonymous counts. It counts returning browsers once across selected dates and a rolling 12-month window, without linking this identifier to your account or IP address. Different devices or cleared storage may count one person more than once. Directory engagement statistics record listing/article views and clicks, and may associate signed-in activity with an account. These measurements are not needed to browse or send an enquiry and are blocked without consent.
- Anonymous directory totals: we count successful listing page requests on our server, including when optional cookies are declined. We store only the listing, UTC day and total count, not your IP address, browser details, account, cookies or visitor identifier. These aggregate totals cannot identify you or follow a journey across visits. They measure requests, not unique people, and may include repeat visits and automated requests.
- Technical and security records: hosting, authentication and service providers may process IP addresses, request and error logs to deliver and protect the service (legitimate interests). These operational records are separate from optional analytics.
Email marketing
We only send marketing emails, such as wedding news, offers and fair updates, to couples who chose to receive them when signing up. You can unsubscribe at any time by clicking “Unsubscribe” in any email or by contacting us.
The NI Wedding Directory will never sell your data to third parties.
Account verification, password recovery, enquiry notifications, payment and membership messages are service emails, not marketing. Refusing marketing does not stop these necessary messages. Cookie marketing preferences control optional website media, not your separate email subscription choice.
Who receives information
We use Lovable Cloud for hosting, account authentication, application storage and data processing, and email delivery providers for service messages. Selected businesses receive the enquiries addressed to them. Stripe and Ticket Tailor receive information needed for requested payments/bookings. Google and Humblytics receive optional analytics only after consent; Google/YouTube and Vimeo receive information when you allow their embedded media. External social links, Fillout surveys and supplier websites open their own services and privacy policies.
Google Fonts and Adobe Fonts provide the site’s typefaces and receive ordinary network information such as your IP address when their styles or fonts load; these requests are not used by us as visitor analytics. Service providers may process data outside the UK. Where required, transfers need appropriate safeguards, such as an adequacy decision or approved contractual safeguards. Contact us for details of the safeguards applicable to your data.
Retention and deletion
Account and planning information is kept while needed to provide your account and requested services. You can request account deletion through Account & Security or by emailing us; requests are reviewed rather than automatically deleting every record immediately. Enquiries and associated records may need to remain for the recipient’s correspondence, disputes or legal obligations. Financial records are retained for applicable accounting and tax requirements. We keep security records only as needed to investigate and prevent abuse. Backups and records subject to legal holds may remain for a limited period after deletion.
Cookie preferences expire after six months and require a new choice. A browser-local history retains dated acceptance and withdrawal evidence, including the notice version and choices shown, until you clear that browser’s storage. Analytics data is subject to each provider’s configured retention; contact us for the current periods. We do not promise a fixed deletion period that has not been configured or verified.
Anonymous listing/day totals are retained for historical directory comparisons while the listing exists. They contain no visitor-level records; removing a listing also removes its counters.
For consented unique visitor measurement, browser identifiers expire after 13 months without a consenting visit; withdrawal removes the identifier immediately. Hashed browser/day records are pruned daily once older than 13 calendar months. Only administrators can see deduplicated totals; raw records are not available through the browser. Earlier aggregate exports cannot be used to reconstruct unique visitors.
With analytics consent, separate sign-up conversion tracking records logged-out Message and Brochure clicks and sign-up clicks from Find the one and Offers using a random identifier in tniwd:signup-intent. Page visits alone are not sign-up clicks. It expires after 30 days and is removed on withdrawal or sign-in. We link the most recent eligible click across these sources to one newly created, confirmed account within 30 days, using separate hashed browser and account identifiers rather than names, emails or IP addresses. Existing-account sign-ins are excluded. Only admins can see conversion reports. Stored conversion records remain for historical reporting; contact us to request deletion. Clearing storage, changing devices or declining consent means a registration may not be attributed.
Your rights
With analytics consent, ticket and magazine order-confirmation arrivals use a separate 30-day browser record in tniwd:order-arrival and the same sign-up attribution identifier. We retain the first arrival’s signed-in or signed-out status for each source within a 30-day window, and can attribute a later newly confirmed account to a signed-out arrival. These are page arrivals, not verified purchases; signed-out visitors may already have an account. Reports are admin-only. Withdrawal removes both browser identifiers; clearing storage or changing devices can cause separate counts. Stored hashed records remain for historical reporting under the deletion rights above.
Personal data is processed in accordance with UK data protection law, including the UK GDPR. For any questions about how we collect, use or protect your information, or to ask for a copy or deletion of your data, please email info@theniweddingdirectory.com.
You may also request correction, restriction or portability where applicable, object to processing based on legitimate interests, and withdraw consent without affecting earlier lawful processing. We may need to verify your identity. You can complain to the UK Information Commissioner’s Office at ico.org.uk. Choosing cookies or creating an account does not waive your rights.
